We’ll sit down with you to talk about the event as a whole so that we can understand what your expectations are, who your audience is, and what you are really hoping to achieve. It’s a time to discuss those crucial elements: the budget, the venue, the date and anything else that’s important to you. We’ll give you a timeline to ensure you know what’s happening and when.
Whatever your requirements, finding the right location is key. Let us do the hard work for you. We’ll be busy obtaining and evaluating quotes from suitable venues, and work hard to secure the dates you want. If you’d like us to help with or undertake contract negotiations - that’s no problem either!
Budgeting and financial management
Unfortunately the least glamorous part, but it’s the backbone of any event. We’re great with preparing a detailed budget for you in next to no time. We can also help with financial management to help keep costs down and maximise opportunities.
Programme / speaker and social
Programme / speaker
We can devise a programme format that works effectively in your venue. We know that an engaging and informative speaker is often pivotal to an event’s success. If you’ve still to find one, we’d be pleased to give our recommendations. Once confirmed, we’ll follow up with them to answer queries, request additional information, outline their entitlements and generally make them feel like VIPs!
Often the highlight of the event, we want your social function to be talked about for years! We’ll arrange all aspects: evaluating venue quotes, organising the entertainment, planning the food and beverage selection, transportation – so you can relax in the knowledge that it is all taken care of.
Sponsorship and exhibition management
We can help you identify the key people for you to approach for sponsorship. We’ll manage all of the details and paperwork involved, and work closely with your sponsors so they feel encouraged to take part again
Let us coordinate your exhibition and you won’t be disappointed. From drawing up an exhibition floor plan, sorting out pricing, and promotional material, to working with exhibition companies to ensure everything is right for the day - we’ll have it covered.
Promotion including websites, print collateral and new media
Unsure of the best ways to promote your event? We can talk you through your options, advise on achieving consistent branding, and put our creative heads together to fulfill your event promotion needs. Our graphic designer can make your promotional material stand out, while providing all the necessary information you need.
Conference app and new media
We’re in the know about new Media, and can look at which options may be right for you. We can set up blogs for delegates to access the latest event information, provide options for conference app’s, give you promotional ideas that make use of social networking sites or YouTube.
Delegate and guest management
Organising the delegate/guest registration can be a mammoth task. At Composition, we take it all in our stride. We have the ability to receive and process registration via online or post. We’ll process the payments, banking the money into your dedicated account – and we’re not afraid to chase up outstanding payments either. We’ll handle all correspondence/invoicing and respond promptly to delegate enquiries, no matter how unusual they may be!
Logistics and onsite
We’re great at details. From the design and type of name badges, to options for satchels/bags or giveaways - we’ll coordinate what’s to go into them, make sure they have the correct branding and even arrange to pack them. Perhaps you’d like a photographer for the event? Not a problem, we’ll get right onto it!
On the day itself we’ll be there to ensure everything runs smoothly. We’ll finalise arrangements with suppliers and make sure the venue looks great. As your onsite representatives, we’ll greet your guests, hand out name badges, satchels or promotional items and of course be on hand to manage the unexpected!
